This policy applies to all users of our services, including restaurant customers who interact with our voice AI and SMS systems, and restaurant staff who use the Helm management dashboard.

2.1 Information Provided During Phone Calls
When you call a restaurant that uses our Helm voice AI system, we may collect:
Your phone number (via caller ID)
Your name, as provided by you during the call
Reservation details (date, time, party size, seating preferences)
Call recordings and transcripts
Questions asked and information requested about the restaurant
Callback request details, including reason for the request
2.2 Information Collected via SMS
When you receive or respond to SMS messages from our platform, we may collect:
Your phone number
The content of your SMS replies (e.g., CANCEL, CHANGE, STOP)
Message delivery status
2.3 Information from Restaurant Staff
Restaurant staff who use the Helm dashboard may provide:
Account credentials and contact information
Phone numbers for receiving operational alerts
Notes and records related to callback requests and reservations
3. How We Use Your Information
We use the information we collect for the following purposes:
To process and confirm restaurant reservations
To send transactional SMS notifications, including reservation confirmations, cancellation confirmations, and callback acknowledgments
To facilitate callback requests between customers and restaurant staff
To answer questions about the restaurant (hours, menu, parking, etc.)
To improve our voice AI system and customer experience
To provide restaurant operators with analytics on call volume, reservation trends, and operational insights
To sync reservations with the restaurant's calendar system
We do not use your information for marketing purposes. All messages sent through our platform are transactional and directly related to services you have requested.
4. SMS Messaging Terms
By providing your phone number during a call with our voice AI system and completing a reservation or callback request, you consent to receive transactional SMS messages related to your request. These messages may include:
Reservation confirmation details
Cancellation confirmations
Responses to your SMS replies (e.g., when you text CANCEL or CHANGE)
Message Frequency: Message frequency varies based on your interactions. You will typically receive one message per reservation or callback request.
Message and Data Rates: Standard message and data rates may apply depending on your mobile carrier and plan.
Opt-Out: You may opt out of SMS messages at any time by replying STOP to any message received from our platform. After opting out, you will receive one final confirmation message and no further texts.
Help: Reply HELP to any message for assistance, or contact us using the information provided in Section 10 of this policy.
We will not send promotional or marketing SMS messages. All SMS communications are limited to transactional messages directly related to services you have requested.
5. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties for marketing purposes. We may share your information with the following parties solely to provide our services:
Restaurant Partners: The restaurant you are calling or making a reservation with receives your name, phone number, reservation details, and callback request information as needed to fulfill your request.
Service Providers: We use third-party service providers to operate our platform, including:
Twilio (SMS messaging and telecommunications)
Vapi (voice AI processing)
Anthropic (AI language model)
Google (calendar integration for reservation management)
Supabase (database and backend infrastructure)
These providers process your information only as necessary to perform their services and are bound by their own privacy policies and data protection obligations.
Legal Requirements: We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
6. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:
